In this role, you will support GuardRails’ CEO. Because he’s located in South East Asia and on Indochina time, the ideal candidate will also be located within this timezone and location. This role will report directly to and also support the Chief of Staff to the CEO.

You have been in a similar position in a fast-scaling or large technology organisation supporting a CEO or C-suite members.

What you’ll do in this role

  • Work closely with, and support the CEO of GuardRails and the Chief of Staff
  • Act as an all-around gatekeeper and strategically assist the CEO with a broad level of tasks
  • Manage complex calendar scheduling including vetting, prioritising and providing recommendations
  • Handle, compose and prepare correspondence that is sometimes confidential or privileged in nature
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Managing and monitoring key internal projects on behalf of the CEO
  • Maintain smooth and effective communications between the CEO and other internal and external stakeholders like investors, key clients, other VPs and executives
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
  • Complete travel coordination including air and ground transportation, hotel reservations, visas and other travel documentation
  • Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities
  • Draft internal and external communications on behalf of the CEO
  • File expense reports and track reimbursement status
  • Manage projects, internal and external meetings and large-scale events from budget planning through logistical coordination
  • Assist in the full lifecycle of recruiting including booking interviews, liaising between the hiring team and the candidate, and coordinating onboarding of new hires
  • Maintaining and tracking manager and team’s project list and goals
  • Contribute to team meetings and offsites by assisting with the production of materials and pre-reads, taking notes and tracking action items
  • Provide general project support as needed including ad-hoc reporting

We’re looking for

  • Experience at a quickly-scaling or large technology company, ideally supporting a CEO
  • Understanding of business and strategic priorities
  • Successful history of managing the calendars, expenses, and travel of executives
  • Experience predicting, prioritising, and assisting an executive’s workload
  • Extensive technical skills in Google Workspace, Zoom and Slack
  • Must be proactive and able to deal with ambiguity, prioritise own work and resources, juggle multiple tasks in a manner transparent to the team, and work independently to achieve results with a high degree of accuracy
  • Exceptional communication and interpersonal skills and ability to interact autonomously with internal and external partners
  • Maintain the confidentiality of highly sensitive material with tact and professionalism
  • Demonstrated ability to adopt technical tools quickly
  • Possess an ability to multi-task and prioritise in a dynamic environment
  • Superior attention to detail
  • Event coordination and creative event planning experience
  • Excellent written and verbal English communication skills
  • Experience in a start-up environment preferred
  • Experience working remotely preferred
